User Management
How do I add a new user?
When you add a new user, they will be able to create new interviews, manage sessions, and enter sessions as either managers or observers. To invite a new user...
- Click on your account name in the upper right.
- Click the User Management tab.
- Click either the Users or Invitees tab, depending on who you want to invite.
- Click the plus button next to Invite New Manager.
What are the differences between Admin and Researcher roles?
The admin role can view payments, add additional hours, and adjust billing information. The researcher role cannot access any billing changes. Both roles can create interviews, manage sessions, and enter sessions as either managers or observers.
How do I see the status of new user invitations?
You can view the invites that you’ve sent out in the User Management tab > Invitees tab. This will show you all the invites you sent, who sent them, whether the participant has clicked the invitation, whether Fuel Cycle signed them up, or if the invitation expired. You can resend an invitation by clicking the Resend button.
Creating Interviews
How do I add a new interview?
- Navigate to the main menu by clicking the Live logo at the top left or clicking the Live Dashboard link when viewing your account or profile settings.
- From there, click the +New Interview button on the right-hand side.
How do I add a session time slot?
For an already existing interview slot, you can click on the interview you want to edit and locate the three dots in the right-hand corner. From there, click Edit and navigate to: When can people participate. In that section, you will be able to set up a new interview time slot.
For a new interview, you will want to create a new interview session and add additional time slots during the set-up process.
How do I delete an interview?
You can delete an interview by navigating to the “Interviews” tab. Then, click the specific interview card you want to modify and click the three dots on the right-hand side. From there, you will have the option to click delete. Any interview that participants have RSVP’d to cannot be deleted.
You may also archive a session, which will allow you to return to it in the future.
How do I share an interview?
You can share an interview with participants by navigating to the interview session card. Once you select the card, you will see the option to “Copy link.” This link will automatically be added to your clipboard. You can then send this link to any participant via e-mail, social media, forums and any other areas which accept URLs.
What does “Session End Title” mean?
In the interview set-up phase, the “Session End Title” is where you will input the title and the description of what you want participants to see upon the conclusion of the session.
What does “Interview Full or Locked Room Title” mean?
In the interview set-up phase, this will be what participants will see if an interview is already full or locked by the manager. The title and message you inputhere should help participants understand what they should doing case they are unable to attend a desired session.
What are “participant signs ups”?
The “participant sign ups” in the “How many people can participate?” tab is meant to allow you to add overflow participants in case you want the ability to have additional participants attend. If you know exactly how many people you want to attend, you can leave this field as zero.
What does it mean that the max number of people in the session is 40?
The total number of participants, managers, and observers can be up to 40 people. The specific number of each type can be based on your project requirements, provided that the total number of individuals does not exceed 40.
How can I see who has RSVP'd?
If youwant to see who has RSVP'd for a session, navigate to the “Interviews” tab and then locate the desired session. Once there, click the three dots on the right side of the card and select “Export RSVP” in order see the full participant list.
Scheduling Sessions
Who can join a scheduled session?
Participants who have RSVP'd can join their registered session. In addition, users who hold either admin or researcher status on your account can join as a manager or observer in any session
How do I add new people to a scheduled session?
For the participants, simply send them the RSVP link.The RSVP link will close right before the session is scheduled to start.For managers or observers, ensure they are users in your Live account.
When can moderators vs. participants join the waiting room and session?

In-Session
What is the “waiting room”?
The waiting room is used to ensure that your microphone, video, and internet are stable for the session. You can also test your headphones in this room.
How do I screenshare?
In focus groups, the screenshare button is only enabled for moderating managers. The screenshare button is available on the left-hand side, and gives you the options to screenshare your entire desktop, a specific application, or browser tab.
In IDIs, participants can also screenshare by clicking the same screenshare button to request permission from the manager.
How does the chat work?
The chat is a private discussion space between moderating managers and observers. Use this space to share observations and questions during the session.
How do notes work?
Live offers time encoded notes. Moderating managers and observers have the ability to take individual notes which can then be downloaded after the session is completed.
How can I mute or unmute a participant?
In the People section on the right, you can toggle their mic button to mute or unmute individual participants as needed.
If you want to mute the entire room, select Mute All.
Completing Sessions
How can I download a video?
On the main menu, navigate to “Completed Sessions.” Once there, click on the “Export” button to find the different exports.
